Job Summary/Basic Function

 

Maryville University is seeking a skilled and motivated Salesforce Administrator to join our dynamic team. As a Salesforce Administrator, you will play a critical role in managing and optimizing our Salesforce platform to support the University's operational and strategic goals. You will collaborate with various departments to ensure efficient utilization of Salesforce, streamline processes, and enhance user experience.

To be successful, the candidate must have hands-on administration and configuration
skills. They must have a service-oriented mindset, a passion for technology and
innovation, and be committed to fostering a culturally diverse atmosphere for faculty,
staff, and students. Qualified candidates should possess strong communication skills,
both verbal and written, and have the ability to communicate technical details to non-technical staff in an understandable way.

Responsibilities

• Salesforce Administration: Daily administration and support of the Salesforce platform including but not limited to managing user setup, profiles and roles, customization of objects, fields, record types, page layouts, etc.
• Salesforce Configuration and Customization: Configure and maintain Salesforce to meet the evolving needs of different departments, including but not limited to custom objects, fields, flows, apps, pages, validation rules, and approval processes.
• Security and Compliance: Manage user access, roles, profiles, and permissions to ensure data security and compliance with relevant regulations and policies.
• Business Analysis: Effectively act as the liaison between our end users, vendors, and the application development teams. Interface with business users in conducting analysis and requirements gathering and develop high-quality deliverables while evaluating innovative approaches to accomplish objectives.
• Process Automation: Design and implement automated processes using Flow and Orchestrations in conjunction with Slack, 3rd party tools, Experience Cloud Sites, email to case, and object/field/page configuration to improve operational efficiency and reduce manual tasks.
• User Support and Training: Provide technical support and training to Salesforce users across the University, ensuring they are proficient in using the platform to achieve their goals. Track identified system problems through resolution
• Reporting and Analytics: Create and maintain dashboards, reports, and analytics to provide insights into key performance metrics and support data-driven decision-making.
• Data Management: Ensure data integrity and accuracy by implementing best practices for data entry, cleansing, and deduplication. Regularly perform data audits and collaborate with users to clean and maintain the database. Support defining data needs and assist in the design of plans to achieve those data needs.
• Documentation: Create and maintain comprehensive documentation of system configurations, processes, and procedures to ensure knowledge sharing and training materials are up-to-date.
Integration: Collaborate with team members to integrate Salesforce with other systems, ensuring seamless data flow and integration points.
• Change Management: Participate in the change and release management process by collaborating with Salesforce peers to test new configurations and manage changes to the platform through the change management lifecycle
• Vendor Management: Work with third-party vendors for app selection, implementation, and integration to enhance the functionality of Salesforce. Install software from the Salesforce app exchange.
• System Monitoring: Complete regular internal system audits, run/review setup audit trail and debug logs, and prepare for upgrades
Continuous Improvement: Stay up-to-date with Salesforce updates and best practices, and proactively identify opportunities to improve processes and enhance user experience.
• Additional responsibilities as assigned by management

Minimum Qualifications

• 3-5 years of experience administering Salesforce
• Associate degree or 3 years of equivalent professional/technical experience
• Excellent communication, analytical, and critical problem solving skills
• Ability to work independently and as part of a team to prioritize tasks and work on multiple projects simultaneously
• Salesforce Administrator certification (ADM 201 or equivalent) is required.
• Strong knowledge of Salesforce features, including Lightning Experience, Flow, and Lightning App Builder.
• Proficiency in data management, reporting, and analytics within Salesforce.
• Excellent problem-solving skills and attention to detail.
• Strong communication and interpersonal skills and the ability to work effectively with various departments and user levels.
• Ability to think critically, adapt on the fly, and maintain a technical process with many moving parts. Critically important to be able to evaluate information gathered from multiple sources, reconcile conflicts, and distinguish user requests from the underlying true needs

Experience in Higher Education
Experience with multi-org Salesforce installations
• Experience with EDA/Education Cloud
• Experience with Pardot/Marketing Cloud
• Experience with Salesforce Shield
• Experience with Experience Cloud Site management
• Experience with data integration and third-party app integrations is a plus.
• Experience with FormAssembly, Conga, Data Loader, and OwnBackup
• Experience with TargetX and/or Affinaquest
• Experience with SMS tools such as SMS Magic or Avochato
• Experience with multi-org Salesforce migrations and consolidations
• Experience with creating/maintaining Salesforce integrations with Slack
